What a nail salon booking system needs

A nail salon’s schedule is harder than it looks from outside. Gel polish is 45 minutes, a full set is two hours, nail art is another 30 on top, and regulars will wait a week for the same tech. A booking system that treats every appointment as equal breaks the schedule on day one.

1. Every service has its own duration

Removal is 20 minutes, gel polish 45, a full set 120. The system has to know each service’s real length and offer only start times where it finishes before the next client or before closing. If a system only offers “one-hour slots”, skip it.

2. Clients choose their tech and see who is really free

Regulars at a nail salon are loyal to a tech more than to the salon. The system must let them choose a person by name and show only that person’s free times, not the salon’s. New clients should be able to pick “no preference” so the salon can spread work across whoever is free.

3. Groups can book together

Two friends want to come at the same time. A bride arrives with four bridesmaids. That booking has to reserve two or four techs at the same time in one go, not four separate bookings that hopefully line up. A good system only offers times where enough techs are free for the whole group.

4. Gaps in the schedule must be sellable

A 20-minute removal between two big appointments is money most nail salons throw away, because nobody sees the gap in the book. A system that computes availability from real durations offers that gap to a client who wants something short, automatically.

5. Automatic reminders and self-service rescheduling

A two-hour full set where the client never arrives ruins the afternoon. A reminder two hours before and a link to reschedule cut this more than any other measure, and they have to send themselves with nobody remembering.

6. Pricing that does not punish a quiet month

Nail salons are seasonal. The month before Songkran and December are full; September is quiet. A flat monthly fee means paying the same in a month where revenue halves. Look for a system that charges on actual use, or gives enough free bookings each month to cover a quiet month entirely.

Common questions

Do I need to put my work photos in the booking system?
Not for booking. One or two photos of the salon on the booking page help a new client commit; the portfolio belongs on Instagram, with a link back to the booking page.
Can techs see their own appointments?
They should, and only their own. A tech who can see her day on her phone does not have to ask the owner every morning who is coming.
