What it costs, and why that is the point

Most booking software charges per team member, every month, whether or not anybody books. Add a third therapist and the bill goes up. Take payments and a percentage goes too. Send reminders by SMS and each one is metered. A quiet January costs exactly what a busy July costs.

Toosabai has one price and no seats. Every service, every staff member and every automatic email is included. You pay nothing at all in a month where you take fewer than 100 bookings — not a reduced rate, nothing — and in a month you go past it you pay for that month only. There is no card to enter until the app has already paid for itself, and no subscription to remember to cancel.

It runs on your clock, not ours

Your shop sets its own timezone, and everything that depends on time follows it: the calendar opens on your today, opening hours mean what they say on your wall, and a reminder two hours before an appointment arrives two hours before that appointment. Opening hours, weekly closing days, public holidays you close for and daily breaks are all yours to set.

Nothing about the product assumes a particular country. If your business sells time by the slot and your customers need to know what is genuinely free, it works the same wherever you are.

What your customers see

A single link. They open it, pick a service, pick a person or a class, pick a time that is really available, leave a name and an email, and they are booked. No app to install, no password to invent, no account to recover later.

They get a confirmation immediately, a reminder before the appointment, and a link that lets them move or cancel the booking themselves without messaging you. That link is in every email, so the question "can I change my 3pm?" mostly stops arriving.

Where your data lives, and who answers for it

Toosabai is run by RoomFlow AB, a company registered in Sweden, so the GDPR is the law we are built under rather than a foreign standard we translate ourselves into. You are the controller of your customers’ details; we process them for you, and the dashboard has a real erasure tool that anonymises a guest on request while leaving your takings and your staff history intact.

The database is hosted in Singapore, and Stripe, Vercel and Resend process data in the United States and elsewhere. Every one of those transfers runs under a written data processing agreement incorporating the European Commission’s Standard Contractual Clauses, as Articles 44 to 46 require. We say this plainly rather than claiming your data never leaves Europe, because it does.

Being straight about the money

Charges are made in Thai baht — ฿399 — because that is where the company started and where most customers still are. Your card is accepted normally wherever you are, and your bank converts at its own rate, which is where the "about $12" comes from. Some banks add a small foreign transaction fee on top.

We would rather say that here than let you find it on a statement. If a fixed price in your own currency is something you need before you can commit, tell us — it is a question of demand, not of difficulty.

A good fit when

  • You are one to ten people at a single location, selling appointments or classes.
  • You are tired of per-staff pricing for a team that fits in one room.
  • Your customers speak English, or your booking page can reasonably be in English.
  • You want customers to book without an account, and to move their own bookings.
  • Some months are busy and some are quiet, and you would rather pay accordingly.

Not the right tool when

  • Your customers need a booking page in a language other than English or Thai — today those are the only two.
  • You need to take payment or a deposit at the moment of booking. We do not handle your customers’ money at all.
  • You run several locations, or need one login to span more than one business.
  • You need stock, point of sale, payroll or a marketplace that finds you new customers.
  • You need to be invoiced in your own currency, or bill through a procurement process.

Common questions

Can I use Toosabai outside Thailand?
Yes. Set your timezone when you sign up and the whole app runs on your clock. Most of our customers are in Thailand today, which is why the site talks about it so much, but nothing in the product is limited to one country.
What currency am I charged in?
Thai baht — ฿399 in a month you go past 100 bookings, which is about $12. Your card works normally and your bank sets the exchange rate. Some banks add a foreign transaction fee.
What language will my customers see?
English or Thai. Your booking page is shown in the language the customer’s browser asks for, and their confirmation and reminder emails match. If your customers need another language, Toosabai is not the right tool for you yet.
Do my customers need an account?
No, and they cannot make one. They book with a name and an email address, and manage the booking afterwards through a private link we email them.
Are you GDPR compliant?
Toosabai is operated by RoomFlow AB, a Swedish company, so the GDPR applies to us directly. You are the controller of your customers’ data and we are your processor; transfers outside the EEA are covered by Standard Contractual Clauses, and the dashboard lets you erase a guest’s details on request. The privacy policy sets out the detail.
What happens if I stop using it?
Nothing is deleted and there is nothing to cancel. In a month you take fewer than 100 bookings you are not charged at all, so an account that goes quiet simply costs nothing.
