Terms of Service

Last updated: 1 October 2026 · New pricing effective 1 October 2026

1. Definitions

In these Terms of Service (“Terms”), the following defined terms shall apply:

  • “Platform” or “Service” means the Toosabai software-as-a-service booking and scheduling platform, including all web pages hosted at toosabai.com and its subdomains, all application programming interfaces, and all related services.
  • “Company”, “we”, “us”, or “our” means RoomFlow AB, a limited company registered in Sweden under organisationsnummer 559597-0087 (VAT number SE559597008701), with its registered address at Solrosgatan 18, 722 45 Västerås, Sweden. Toosabai is a service operated by RoomFlow AB.
  • “Owner” means a natural person or legal entity that registers a business account on the Platform to manage bookings and scheduling for their service business.
  • “Staff” means individuals added by an Owner to the Platform, who may be granted limited login access to view their own booking calendars.
  • “Guest” means any individual who books, reschedules, or cancels an appointment through a business’s booking page on the Platform, without creating a user account.
  • “User” means any Owner, Staff member, or Guest who interacts with the Platform.
  • “Content” means any text, images, photographs, data, or other materials uploaded to or created through the Platform by a User.
  • “Monthly Statement” means the record of eligible completed bookings, recorded revenue, rate, credits, waivers, adjustments, and amount due for one business-local calendar month.

2. Acceptance of terms

By accessing or using the Platform — whether by creating a business account, logging in as Staff, or booking an appointment as a Guest — you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy, which is incorporated herein by reference. If you do not agree to these Terms, you must not access or use the Platform.

If you are entering into these Terms on behalf of a business entity, you represent and warrant that you have the legal authority to bind that entity to these Terms, and references to “you” or “Owner” shall include that entity.

3. Description of service

Toosabai is a booking and scheduling platform designed for small service businesses such as massage parlors, nail salons, barbershops, tattoo studios, tutors, and tour guides. The Platform enables Owners to:

  • Create and manage a public booking page for their business
  • Define services, staff members, and business hours
  • Receive and manage bookings from Guests
  • Block calendar time and create walk-in bookings
  • Upload business photographs and descriptions
  • Receive automated transactional emails on behalf of their business

The Platform is a technology tool, not a party to any appointment. We facilitate the connection between Guests and businesses but do not provide, guarantee, supervise, or control the services offered by any business listed on the Platform. The contractual relationship for any appointment exists solely between the Guest and the business.

4. Eligibility and account registration

To create a business account, you must be at least 20 years of age (or the age of majority in your jurisdiction, whichever is greater) and have the legal capacity to enter into a binding agreement. You must provide accurate, current, and complete information during registration and keep that information up to date.

Each account represents one business. Multi-business accounts are not supported. You may not create multiple accounts for the same business or transfer your account to another party without our prior written consent.

You are solely responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. You must notify us immediately at support@toosabai.com if you become aware of any unauthorized use of your account or any other breach of security.

5. Pricing, billing, and fees

5.1 How pricing works

The Platform is billed on usage, not as a recurring subscription. The first 100 eligible completed bookings in each calendar month are free. Beginning with booking 101, the fee is one per cent (1%) of the recorded revenue for those later bookings only. Revenue from the first 100 bookings is not charged.

Customer, Owner, and Staff-entered appointments count after their scheduled end time while confirmed. Cancelled appointments, no-shows, blocked time, and test appointments do not count. Each person in a party or class counts as one booking. The month is determined by the time zone configured for your business.

A monthly amount below 10 THB is waived rather than carried forward or rounded up. There is no minimum term and no charge for inactive months. All fees are exclusive of applicable taxes, which are your responsibility.

5.2 Recorded revenue and corrections

The service price saved with a booking is its recorded revenue unless the Owner records a corrected final amount. Recorded revenue is used only to calculate the Platform fee; it does not establish whether the Guest paid the Owner. If a value required for billing is unavailable, the Monthly Statement remains a draft until the value is corrected. A settled statement is never silently rewritten; approved later corrections appear as an explicit adjustment on a later statement.

5.3 Statements and payment choice

Each Monthly Statement is calculated only after the relevant month has ended in your business’s configured time zone. No payment method is required when you create an account. When your usage approaches the free limit, you may choose automatic card payment or manual payment arranged directly with Toosabai.

Choosing automatic card payment authorises us to collect finalized amounts from your saved payment method when that collection feature is available. Choosing manual payment means we may contact you with the statement and payment instructions, and you agree to pay the stated amount by the stated due date.

5.4 Payment processing

Automatic card payments are processed through Stripe, our third-party payment processor. By saving a payment method, you agree to Stripe’s terms of service. We never access, store, or process full credit card numbers or payment credentials directly. Card data is handled exclusively by Stripe in compliance with PCI-DSS standards. If you chose manual payment, you pay each Monthly Statement yourself by PromptPay QR code, also processed by Stripe, within 7 days of the statement being issued; that is its due date for Section 5.5. Payments collected in person under a separate arrangement with us are recorded by Toosabai against the relevant Monthly Statement.

5.5 Late or failed payments

If payment is late or an automatic charge fails, we may send reminders and give you a reasonable opportunity to pay or update the payment method. After notice, we may pause new online bookings while an amount remains overdue. Your dashboard, calendar, existing bookings, and records remain accessible.

5.6 Questions, disputes, and legacy charges

Contact us promptly if you believe a statement contains an error. We will review the booking records and any Owner corrections. These Terms do not limit any refund or dispute right that cannot lawfully be limited.

During September 2026, the prior model charges 399 THB only if a shop passes 100 bookings in that month, with the refund controls shown when the charge is created. Charges for earlier months keep their original terms. The percentage pricing in this section applies from 1 October 2026.

5.7 Data retention on inactive accounts

We do not delete your data when your account becomes restricted or falls out of use. Your business information, booking history, staff records, and uploaded content are retained indefinitely unless you request deletion pursuant to Section 14 or applicable law.

6. Referral program

Owners may take part in our referral program by sharing their unique referral link. The following terms apply:

  • When a business you referred pays its first bill to us — by a card charge that succeeds, or by a manual payment we record as received — you receive 2,000 THB of referral credit, once per referred business. A month whose fee is waived (for example, for being below 10 THB or for being covered by credit) is not a paid bill and earns no credit.
  • Credit is applied automatically to your own statements after the percentage fee is calculated, and any remainder carries forward to later statements until it is used up. It does not expire.
  • Referral credit can only be used against your own Toosabai statements. It has no cash value and cannot be paid out, sold, or transferred.
  • Credit earned under the programme in force before 22 September 2026 remains valid and is applied in the same way.
  • A referral is attributed when the new business signs up through your link — if its browser allowed the referral cookie, for up to 60 days after the first referral link it followed — or names your business at signup.
  • We may withhold or remove credit obtained through fraud, abuse, self-referral, or violation of these Terms, and we may modify, suspend, or discontinue the referral program at any time.

Separately, a business may come to us through a link from Issara (issara.work), a referral service RoomFlow AB also operates, whose members are paid a commission when a business they introduced pays us. That commission is a matter between Issara and its members. It does not change your price or these Terms; what Issara records about you is described in Section 5.4 of our Privacy Policy.

7. Owner obligations

As an Owner, you represent, warrant, and agree that:

  • All information you provide about your business (including but not limited to business name, services, pricing, staff, and availability) is accurate, complete, and not misleading.
  • You will honor bookings made by Guests through your booking page, or communicate any changes directly to the Guest in a timely manner.
  • You hold all necessary licenses, permits, and authorizations required to operate your business and provide the services listed on the Platform.
  • You will not use the Platform to collect Guest information for any purpose other than fulfilling and reasonably following up on bookings made through the Platform.
  • You will not send unsolicited commercial messages, spam, or marketing communications unrelated to a Guest’s own booking to any Guest whose contact information was obtained through the Platform.
  • You acknowledge that you act as an independent data controller (as defined under applicable data protection law, including the GDPR and the Thai PDPA) with respect to any Guest personal data you access through the Platform, and you will process such data only in compliance with applicable law.
  • Any photographs or content you upload to the Platform are owned by you or you have obtained all necessary rights and permissions to use and display them, and such content does not infringe any third party’s intellectual property rights, rights of privacy, or other rights.
  • You will not upload content that is obscene, defamatory, threatening, discriminatory, or otherwise unlawful.

8. Guest booking terms

Guests may book appointments through a business’s booking page without creating a user account. By booking an appointment, the Guest agrees to the following:

  • Guests booking online must provide their full name and email address; a phone number is optional. The email address is how booking confirmations, appointment reminders and (where applicable) review requests reach the Guest. A booking the business enters on a Guest’s behalf needs only a name, and a booking with no email address receives no email.
  • Guest information is shared with the business where the appointment was booked, solely for the purpose of fulfilling that appointment.
  • Guests will receive a confirmation email containing a unique management link and confirmation code, which may be used to view, reschedule, or cancel the booking without needing to contact the business or create an account.
  • Guests may also look up their booking on the business’s page using their confirmation code.
  • The Platform may send automated transactional emails to Guests, including: booking confirmations, appointment reminders (typically sent approximately two hours before the appointment), and review requests (sent after the appointment, at a timing configured by the business). These are service-related communications, not marketing.
  • Toosabai is not responsible for the quality, safety, legality, or availability of any service provided by the business. Any disputes regarding the appointment itself must be resolved directly between the Guest and the business.

9. Staff accounts

Owners may create limited-access login credentials for their Staff members. Staff accounts are calendar-only: Staff can view their own upcoming bookings but cannot modify bookings, services, business settings, or other Staff accounts. The Owner is responsible for managing Staff credentials, including revoking access when a Staff member leaves the business. We reserve the right to limit the number of Staff logins per business.

10. Double-booking prevention

The Platform uses a database-level constraint to prevent overlapping bookings for the same Staff member. While this constraint is designed to prevent double-bookings under normal conditions, including concurrent booking requests, we do not guarantee that scheduling conflicts are impossible under all circumstances. The Owner remains responsible for reviewing their calendar and resolving any scheduling conflicts that may arise.

11. Intellectual property

11.1 Our intellectual property

The Platform, including its design, code, features, documentation, trademarks, logos, and all associated intellectual property, is owned by Toosabai and is protected by applicable copyright, trademark, and other intellectual property laws. Nothing in these Terms grants you any right, title, or interest in or to the Platform or our intellectual property, except for the limited right to use the Platform in accordance with these Terms.

11.2 Your content

You retain ownership of all Content you upload to the Platform. By uploading Content, you grant us a non-exclusive, worldwide, royalty-free, sublicensable license to use, display, reproduce, and distribute that Content solely for the purpose of operating and providing the Platform (including displaying your business page to Guests and potential Guests). This license terminates when you delete the Content or your account, except to the extent that copies exist in routine backups or as required by law.

12. Acceptable use

You agree not to:

  • Use the Platform for any unlawful purpose or in violation of any applicable local, national, or international law or regulation.
  • Attempt to gain unauthorized access to any part of the Platform, other accounts, computer systems, or networks connected to the Platform.
  • Interfere with or disrupt the Platform or the servers or networks connected to the Platform, including by transmitting any malware, viruses, or harmful code.
  • Use automated means (including bots, scrapers, or crawlers) to access or collect data from the Platform, except as expressly permitted by these Terms or with our prior written consent.
  • Impersonate any person or entity, or falsely state or misrepresent your affiliation with any person or entity.
  • Circumvent, disable, or otherwise interfere with security-related features of the Platform, including features that prevent or restrict use or copying.
  • Create fake bookings, spam bookings, or otherwise abuse the booking system.
  • Use Guest contact information obtained through the Platform for any purpose unrelated to the booked appointment.
  • Reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code of the Platform.
  • Resell, sublicense, lease, or otherwise commercially exploit access to the Platform to third parties.

13. Third-party services

The Platform integrates with and relies upon the following third-party services to deliver its functionality:

  • Stripe — payment processing
  • Supabase — database hosting and user authentication
  • Resend — transactional email delivery
  • Vercel — application hosting and content delivery

Your use of the Platform may be subject to the terms and privacy policies of these third-party providers. We are not responsible for the acts or omissions of any third-party service provider, and any outage, error, or data loss caused by a third-party provider is subject to the limitation of liability in Section 16.

14. Termination and suspension

14.1 By you

You may stop using the Platform at any time. Stopping use or removing a saved payment method does not cancel a finalized Monthly Statement or another amount already due. If you wish to have your account and all associated data permanently deleted, you may request this by contacting us at support@toosabai.com. Account deletion is irreversible.

14.2 By us

We may suspend or terminate your access to the Platform, in whole or in part, at any time and for any reason, including but not limited to: violation of these Terms, fraudulent or abusive activity, non-payment, or if we are required to do so by law. Where practicable and not prohibited by law, we will provide reasonable notice before suspension or termination. Upon termination, your right to use the Platform ceases immediately, but Sections 11, 16, 17, 18, 19, and 20 survive.

15. Service availability and modifications

We strive to keep the Platform available and operational but do not guarantee uninterrupted or error-free access. The Platform may be temporarily unavailable due to scheduled maintenance, updates, or circumstances beyond our reasonable control. We reserve the right to modify, update, or discontinue any feature of the Platform at any time. Material feature removals will be communicated to Owners via the dashboard or email with reasonable advance notice where practicable.

16. Disclaimer of warranties

THE PLATFORM IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTY OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY. To the fullest extent permitted by applicable law, we disclaim all warranties, including but not limited to implied warranties of merchantability, fitness for a particular purpose, non-infringement, accuracy, and quiet enjoyment. We do not warrant that:

  • The Platform will be available at all times or free of errors, bugs, or interruptions.
  • Any defects or errors will be corrected within any particular timeframe.
  • The Platform is free of viruses or other harmful components.
  • The results obtained from the use of the Platform will be accurate or reliable.
  • The Platform will meet your specific requirements or expectations.
  • Any booking made through the Platform will be honored by the business.
  • Any business listed on the Platform is licensed, insured, or qualified to provide its services.

17. Limitation of liability

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL TOOSABAI, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, AFFILIATES, OR LICENSORS BE LIABLE FOR:

  • Any indirect, incidental, special, consequential, punitive, or exemplary damages, including but not limited to damages for loss of profits, revenue, goodwill, data, business opportunities, or other intangible losses.
  • Any damages arising from missed bookings, scheduling errors, double-bookings, or failure to send or deliver automated emails (confirmations, reminders, or review requests).
  • Any damages arising from the conduct, acts, or omissions of any Owner, Staff member, Guest, or other third party.
  • Any damages arising from unauthorized access to, alteration of, or loss or destruction of your data or Content.
  • Any damages arising from the unavailability, malfunction, or interruption of any third-party service on which the Platform depends (including Stripe, Supabase, Resend, and Vercel).

In all cases, our total aggregate liability to you for all claims arising out of or in connection with the Platform or these Terms shall not exceed the greater of: (a) the total amount you paid to us in the twelve (12) months immediately preceding the event giving rise to the claim, or (b) one thousand Thai Baht (1,000 THB). This limitation applies regardless of the form of action, whether in contract, tort (including negligence), strict liability, or otherwise, and even if we have been advised of the possibility of such damages.

Some jurisdictions do not allow the exclusion or limitation of certain warranties or liabilities. In such jurisdictions, our liability shall be limited to the maximum extent permitted by applicable law.

18. Indemnification

You agree to indemnify, defend, and hold harmless Toosabai, its officers, directors, employees, agents, and affiliates from and against any and all claims, losses, damages, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or in connection with:

  • Your use of or inability to use the Platform.
  • Your violation of these Terms or any applicable law or regulation.
  • Your violation of any rights of a third party, including any intellectual property right, privacy right, or other proprietary right.
  • Any Content you upload, submit, or display on or through the Platform.
  • Any dispute between you and a Guest, Staff member, or other User of the Platform.
  • Any claim by a Guest or third party related to the services you provide through or in connection with bookings made on the Platform.

19. Governing law and dispute resolution

RoomFlow AB is established in Sweden. These Terms shall be governed by and construed in accordance with the laws of Sweden, without regard to its conflict of laws principles.

Any dispute, controversy, or claim arising out of or relating to these Terms, or the breach, termination, or invalidity thereof, shall first be attempted to be resolved through good-faith negotiation between the parties for a period of not less than thirty (30) days. If the dispute cannot be resolved through negotiation, it shall be submitted to the exclusive jurisdiction of the courts of Sweden.

If you are a consumer, nothing in this section removes the protection given to you by the mandatory law of the country in which you live, and you may bring proceedings in the courts of that country. Most Owners use the Platform in the course of a business and are not consumers for this purpose.

Notwithstanding the foregoing, we reserve the right to seek injunctive or other equitable relief in any court of competent jurisdiction to prevent the actual or threatened infringement, misappropriation, or violation of our intellectual property rights or confidential information.

20. General provisions

20.1 Entire agreement

These Terms, together with the Privacy Policy and any other policies incorporated by reference, constitute the entire agreement between you and Toosabai with respect to the Platform and supersede all prior or contemporaneous communications, representations, or agreements, whether written or oral.

20.2 Severability

If any provision of these Terms is held to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect. The invalid provision shall be modified to the minimum extent necessary to make it valid and enforceable, and if modification is not possible, the provision shall be severed.

20.3 Waiver

Our failure to enforce any provision of these Terms shall not be deemed a waiver of that provision or any other provision. Any waiver must be in writing and signed by us to be effective.

20.4 Assignment

You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign or transfer our rights and obligations under these Terms at any time without restriction and without notice to you, including in connection with a merger, acquisition, corporate reorganization, or sale of all or substantially all of our assets.

20.5 Force majeure

We shall not be liable for any failure or delay in performance resulting from causes beyond our reasonable control, including but not limited to acts of God, natural disasters, pandemics, government actions, war, terrorism, civil unrest, power failures, internet or telecommunications failures, cyber attacks, or failures of third-party service providers.

20.6 No agency

Nothing in these Terms creates any agency, partnership, joint venture, or employment relationship between you and Toosabai. You have no authority to bind us in any way.

20.7 Headings

The section headings in these Terms are for convenience only and have no legal or contractual effect.

20.8 Language

These Terms are drafted in English. If these Terms are translated into any other language and there is a discrepancy between the English version and the translated version, the English version shall prevail to the extent permitted by applicable law.

21. Changes to these terms

We reserve the right to modify these Terms at any time. When we make material changes, we will: (a) update the “Last updated” date at the top of this page; (b) notify Owners via the dashboard or email at least fourteen (14) days before the changes take effect; and (c) post the revised Terms on this page. Your continued use of the Platform after the effective date of the revised Terms constitutes acceptance. If you do not agree to the revised Terms, you must stop using the Platform before the changes take effect. Any finalized Monthly Statement or other amount already due remains payable.
